Scope and responsibility
This Privacy Policy explains how Rekordin handles personal data when you visit our website, create an account, purchase credits, record at an equipped venue, watch or share a replay, contact support, or interact with a Rekordin venue partner.
Rekordin Private Limited, Chennai, Tamil Nadu, India is responsible for the core platform unless checkout or account details identify another Rekordin entity. A venue may separately control court bookings, local CCTV, staff records or other activities outside Rekordin. Ask the venue for its own privacy notice where relevant.
Data we collect
- Account data: name, email, phone, login identifiers and communication preferences.
- Recording data: game video, audio if enabled, thumbnails, timestamps, court and session metadata.
- Venue data: selected location, court, booking reference, recording status and equipment events.
- Payment data: credit purchases, membership status, invoices and payment-provider references. Rekordin should not store full card details.
- Device data: IP address, browser, device identifiers, diagnostic logs, security events and cookie choices.
- Support data: messages, attachments, refund requests, reports and the steps taken to resolve them.
- Consent records: notices shown, acknowledgements, guardian confirmations and sharing permissions where the feature is used.
Where data comes from
We receive data from you, the account holder who invites or shares with you, participating venues, compatible recording hardware, payment and identity providers, customer-support interactions, and the devices used to access Rekordin. We may also receive a report from a participant who asks us to restrict, review or remove a recording.
How we use data
- Provide accounts, credit balances, session controls, playback, download and sharing.
- Encode, store, stream, secure and recover recordings where recovery is possible.
- Calculate recording time, process payments and return credits for verified failed recordings.
- Operate venue hardware, diagnose faults and prevent overlapping or unauthorised sessions.
- Send service notices, purchase records, storage-expiry reminders and support responses.
- Prevent fraud, abuse, unsafe sharing, unauthorised access and security incidents.
- Improve reliability and product design using aggregated or de-identified insights where practical.
- Comply with legal duties and respond to valid requests from authorities or affected individuals.
Consent and other lawful grounds
Depending on your location and the activity, Rekordin processes data to perform a contract, with consent, to meet legal obligations, to protect vital interests, or for legitimate interests that do not override individual rights. The recording flow should give clear, specific notice before a session begins and provide a practical way to ask questions or withdraw optional consent.
Withdrawing consent does not automatically invalidate earlier lawful processing. It may prevent a feature from continuing where that feature genuinely requires the data.
Players, bystanders and children
Rekordin is designed for clearly marked playing areas at participating venues. Account holders and venues must follow the displayed notice and acknowledgement process before recording. Participants can contact Rekordin if they believe they were recorded without the required notice or permission.
Sessions involving children require guardian authority and age-appropriate safeguards. Rekordin should avoid behavioural monitoring, targeted advertising to children, and unnecessary collection. If we learn that child data was collected without the required authority, we will investigate and take appropriate action, including restricting or deleting the recording where required.
International processing
Rekordin and its providers may process data in countries other than where a game was recorded. Where transfer restrictions apply, Rekordin will use an approved legal mechanism and appropriate contractual, organisational and technical safeguards. Account notices should identify material hosting locations once the production infrastructure is finalised.
How long we keep data
Recording retention depends on the selected membership, launch offer and storage period displayed in your account. Download any replay you need before its expiry date. Deletion from active systems may take time to propagate through secure backups.
Account, transaction, consent, security and support records are retained only as long as reasonably needed for the stated purpose, legal obligations, fraud prevention and dispute handling. Rekordin should publish the final retention schedule before launch.
Security
Rekordin uses proportionate access controls, encryption in transit, logging, monitoring, provider reviews and incident-response processes. No online service can guarantee absolute security. Keep your account credentials and private share links secure, and report suspected access promptly.
Your choices and rights
Depending on applicable law, you may request access, correction, completion, deletion, restriction, portability, objection, withdrawal of consent, or information about processing and recipients. You may also nominate another person or complain to a data-protection authority where the law provides.
Send a request through the Rekordin privacy contact form. We may verify your identity and authority before acting. A request involving a shared team recording may require us to balance the rights and lawful interests of other participants.
Contact, grievances and changes
Privacy questions, participant concerns and general support requests can be submitted through the Rekordin contact form. Rekordin Private Limited is based in Chennai, Tamil Nadu, India.
We may update this policy when the product, providers or law changes. Material changes will be highlighted in the service and the updated date will be revised.
